Attending a Meeting
When a meeting host requires your attendance at a Jigsaw Meeting, she adds you to the meeting as an attendee. The Jigsaw Meeting application automatically sends a Jigsaw Meeting Invitation to you at the email address provided by the meeting host.
Or, if the meeting host requires that you act as a presenter at a Jigsaw Meeting, then a Jigsaw Meeting Presenter Announcement is sent to you in email.
Whether you are designated as attendee or presenter, you need to join the meeting on or just prior to the meeting start time specified in the invitation. Meeting attendees who have been designated as attendees may join up to 10 minutes in advance of the scheduled meeting start time. Meeting attendees who have been designated as presenters can join the meeting at any time.
The meeting notification that you receive in email contains all of the details that you need in order to join the meeting, including a link to log in to Jigsaw Meeting first, which is necessary for participating in the meeting. Your email address is also your login name.Presenters. Meeting presenters can log in to Jigsaw Meeting and join the meeting any time prior to the scheduled meeting start time.
Attendees. Meeting attendees can log in to Jigsaw Meeting and join the meeting up to 10 minutes prior to the scheduled meeting start time. The Join Meeting button on the Scheduled Meetings page is not available until that time.Meeting presenters have been granted certain meeting administration rights by the host. Presenters can do the following:
Join the meeting at any time after it has been created by the host.
Administer meeting assets. This includes uploading new assets and adding available assets to the meeting.
Receive the baton during a meeting. When a meeting attendee holds the baton in a meeting, the star icon next to her name in the list of meeting attendees turns yellow. The person with the baton controls the streaming video in the upper left pane, can present slide shows in the upper right pane, and has the ability to pass the baton to another presenter or back to the host.
Note that meeting presenters cannot invite attendees.Yes, in order to participate audibly in a meeting, attendees must use some sort of audio device. The type of listening device is dependent upon the meeting configuration. When the meeting host creates the meeting, she selects whether audio will be transmitted by way of an external conference line, which uses a phone line that is external to the computer, or by using a computer- connected audio device, which uses VoIP technology. This configuration determines which type of audio device meeting attendees must use. When using VoIP, a computer-connected headset or set of headphones is recommended. IMPORTANT NOTE: It is recommended that attendees use headphones or a headset instead of computer speakers so that meeting audio does not reverberate into the microphone, causing sound distortion in the form of feedback and echoing. For more information, see the Device Setup FAQ.
The Device Setup FAQ identifies audio/video requirements, describes various devices, and offers configuration and setup guidelines for audio/video components.View your upcoming meetings by logging into Jigsaw Meeting. In order to join a meeting that is about to start, or is already in progress, do the following:
1. Click the Join a Meeting button on the Jigsaw Meeting home page at http://www.jigsawmeeting.com. Alternatively, if you received a Jigsaw Meeting Invitation or Presenter Announcement from a Jigsaw Meeting administrator by email, click the Click Here to Log In button in the body of the email to log in.
2. Your web browser is directed to the Jigsaw Meeting application login page.
3. Input your email address as specified in your meeting invitation or presenter announcement.
4. If you have already set up an online profile in Jigsaw Meeting, input the account password and click the Join a Meeting button. Alternatively, if you do not have a pre-existing profile, you are prompted to create your Jigsaw Meeting profile. After filling in the required information, click Save. The Upcoming Meetings tab on the Scheduled Meetings page is displayed.
5. In the appropriate tab, click the meeting that you wish to join. Jigsaw Meeting opens in your default web browser, and a 30-second demonstration video is displayed. At the end of the demo, if the presenter has not joined yet, you are prompted to wait for that person. Note: In order to configure devices in Jigsaw Meeting, you must join a meeting in progress.
6. The Adobe® Flash® Player dialog box is displayed, requesting camera and microphone access for the Jigsaw Meeting application.
7. Click the Allow button. You are now in the meeting.The meeting host decides whether a phone or Voice over IP (VoIP) device is used for the meeting.

When the meeting host sets up the meeting, she selects whether audio will be transmitted by way of an external conference line, which uses a phone line that is external to the computer, or by using a computer-connected audio device, which uses VoIP technology. This configuration determines which type of audio device meeting attendees must use and is specified in the Jigsaw Meeting Invitation or Presenter Announcement that attendees and presenters receive in email.
• If the email notification specifies a phone number, then attendees are required to use a phone in order to participate.
• If the email notification does not include a phone number, then the meeting requires a computer-connected audio device (preferably a headset) in order to participate.
Using a phone
When the meeting host does not choose the Enable Audio option when setting up a meeting, it means that the meeting host has specified that an external conference line (i.e., a phone) will be used by all attendees in the meeting. In this case, attendees cannot use a computer-connected audio device to participate in a meeting.
NOTE: The Jigsaw Meeting Invitation or Presenter Announcement that attendees receive in email should specify the phone number required to dial in to the meeting. If this information is absent from the invitation, contact the meeting host.
Using a VoIP device
If the meeting host chooses the Enable Audio option when setting up a meeting (i.e., a phone number is not specified in the Jigsaw Meeting Invitation or Presenter Announcement), then all attendees are required to use a computer-connected audio device, also called a VoIP device. This setup requires that attendees have access to a microphone (for transmitting and recording voice) and headphones (for listening to audio).
Speaking and listening functionality are typically integrated into a single device called a headset. Alternatively, two separate devices can be used, such as a microphone that is built into a laptop computer and headphones that plug into an audio socket or USB port on the laptop.
IMPORTANT NOTE: It is recommended that attendees use a headset (or headphones) instead of PC speakers so that meeting audio does not reverberate into the microphone, causing sound distortion in the form of feedback and echoing. If only one attendee uses PC speakers during a meeting, audio is distorted for all attendees. For more information, see Why is there an echo when using VoIP in Jigsaw Meeting? For more information, see the Device Setup FAQ.A host is a person with the ability to create and manage meetings using Jigsaw Meeting and is designated as a host (“H”) by the Jigsaw Meeting administrator for your organization. The host controls the meetings that she creates. She can set and modify meeting times, invite attendees, upload files to the meeting, distribute surveys to attendees, pass host control to meeting attendees who are designated as presenters, and review meeting reports after the meeting has ended. A presenter is invited to the meeting and designated by the host to be a meeting presenter (“P”).
A presenter has the rights to control video, conduct slide slow presentations, upload new attachments to the meeting, and use any of the features in the Presenter Dashboard during the meeting. The presenter cannot invite other attendees to the meeting; only the host can do this.
An attendee is invited to the meeting and designated by the host to be a meeting attendee (“A”). An attendee can speak during the meeting, except when all attendees are muted by the host, or when the attendee mutes her own audio. An attendee can capture and transmit live video from her camera if the host has passed camera abilities to her during the meeting. The attendee has no presenter rights; therefore, the host cannot pass controls to an attendee. Attendees can write personal and group notes, draw on the whiteboard, participate in surveys, use text chat to communicate with other attendees, navigate the map, and use any feature or attachment that is released by the host.As a meeting attendee, you can use your camera to capture your image during a meeting only when the host or current presenter enables your camera. If an active Start button is not available in the upper left pane in Jigsaw Meeting, then you cannot start the camera.
After the host or current presenter enables your camera, click Start in the upper left pane. You can see dual videos in the Jigsaw Meeting video pane. The rest of the meeting attendees will see the same images in that pane. In addition, the Stop button in that pane becomes active. Click the Stop button to stop transmitting video from your camera.Only the host or the current presenter can pass presenter capability to another designated presenter (or back to the host) during the meeting. Passing presenter duties in Jigsaw Meeting is informally referred to as “passing the baton,” and this action is controlled in the Attendees pane in the right frame of the application.
In the Attendees pane, the host is represented with the “H” icon. People designated as meeting attendees have an “A” next to their name. And presenters are specified with a “P.” In a meeting using VoIP, if an attendee’s microphone is not muted, there is also a microphone graphic next to that attendee’s name.
The yellow star graphic specifies the person who is in control of the meeting—either a presenter or the host. An attendee cannot have a yellow star.
If you are in control of the meeting (and therefore have a yellow star next to your name), you may pass the controls to another presenter (or the host) by clicking the gray star graphic next to that person’s name. This passes the baton to that person.
The host, on the other hand, is able to retrieve control at any time by taking the baton from a presenter. From the host’s computer, the host simply clicks the gray star next to her name to retrieve the baton.Each attendee has the ability to mute her microphone during a meeting. Click the Mute Me button to disable your microphone. To re-enable it, click the Talk button.
If the Talk button is grayed out, then you cannot disable muting. This is because the host (or current presenter) has muted everyone in the meeting except herself by clicking the Mute all but me button.
The only person with the capability to mute others during the meeting is the host or current presenter. This person is represented by a yellow star next to her name in the Attendees pane in Jigsaw Meeting.Jigsaw Meeting has two frames – a left frame and a right frame. Within each frame are panes. Each pane within a frame can be maximized to fill the frame within the browser window.
The left frame has four panes. Left to right, these are used for the following features:
Video
Presentations and Desktop and Application Sharing
Map, Surveys, Images, and Noteboard
Three-dimensional (3D) Models, Whiteboard, My Movies, and My Presentations
To maximize one of the four panes, click the magnifying glass in the upper right corner of the pane. For example, in the left frame, maximize the lower left pane where the map is located. After clicking the magnifying glass for that pane, the map fills the left frame.
The right frame has three panes. Top to bottom, these are used for the following features:
Attendees (lists all meeting attendees, including host and presenters)
Text Chat
Attachments
To maximize one of the three panes, click the resizing arrows in the upper right corner of the pane.In order to maximize the left frame of Jigsaw Meeting, you can close the right frame. The right frame contains three panes. Top to bottom, these display the following features:
Attendees
Text Chat
Attachments
Open the right frame. To open the right frame after closing it, click the series of three left arrows in the frame’s border.Audio/video configuration is controlled by using the Settings button in Jigsaw Meeting. Use this feature if you plug in a different microphone or camera during a meeting.
1. Click the Settings button. The Audio/Video Settings window appears.
2. To change your microphone, click the drop-down arrow for Audio device, and select the appropriate device from the list.
3. To change your camera, click the drop-down arrow for Video device, and select the appropriate device from the list.
4. Click Save Settings.
5. The Audio/Video Settings window closes, saving your hardware selections.
IMPORTANT NOTE: You might have to exit and rejoin the meeting for the new audio/video settings to take effect.To exit a meeting, the right frame must be viewable in Jigsaw Meeting. If you can see the Attendees, Text chat, and Attachments panes, then the right frame is in visible. If not, see How do I close or open the right frame in Jigsaw Meeting? To exit Jigsaw Meeting, click the “X” icon in the upper right corner of the window and close your browser window or tab.
NOTE: Exiting the meeting is not the same as logging out of your Jigsaw Meeting profile. To log out of your profile, switch to the browser window or tab where you clicked the Join Meeting button, and click the Log out button.When any attendee first joins a scheduled meeting, a map marker is displayed in the lower left pane of the left frame in Jigsaw Meeting. More map markers are added as attendees join the meeting. For each attendee, a tear-drop shaped marker (sometimes referred to as a pushpin) is displayed on the map. The host’s marker is purple, presenter markers are green, and attendee markers are yellow. The location displayed on the map is based upon the user’s location as configured in her online Jigsaw Meeting profile. Hover over the marker with your mouse or other pointing device to see the attendee’s name.
If the map is not displayed in this pane during a meeting, it is because another available feature has been selected (activated) in this pane by the user: Surveys, Images, or Noteboard. To return to the map, click the map icon in the title bar of that window.
Use the Zoom In and Zoom Out buttons to expand and reduce map coverage.
To move to another location on the map, left-click anywhere on the map to grab it with your pointing device. Then pull it up, down, left or right.If the meeting host uploads images to the meeting during meeting creation, the images are available to meeting attendees in the bottom left pane in Jigsaw Meeting.
1. Click the Images icon in the title bar of the bottom left pane in Jigsaw Meeting. NOTE: If no image has been uploaded to the meeting, then the message “This feature is not currently being used for this meeting” is displayed.
2. All uploaded images are displayed in the pane.Only the meeting host or presenter is capable of uploading meeting assets. This is done by using the Edit Meeting function. Attendees cannot upload files to a meeting because they do not have the permission to edit a meeting. The types of files that can be uploaded to a Jigsaw Meeting include:
Video (.asf, .avi, .flv, .wav, .wma, .wmv, .mov, .mp4)
Presentation (.ppt, .pptx) Image (.gif, .jpeg, .jpg, .tif)
3D model (.zip file containing at least one .dae file)
File attachment (any except .exe)If the host or active presenter enables the Desktop and Application Sharing feature in Jigsaw Meeting, meeting attendees are able to see the shared desktop or application in the top right pane. For best viewing results, maximize the pane while Desktop and Application Sharing is in use.

For more details about Desktop and Application Sharing, see the Desktop and Application Sharing FAQ.When the meeting host or current presenter releases a presentation from the top right pane in the left frame of Jigsaw Meeting, the presentation becomes accessible to meeting attendees in the lower right pane of that frame.
This allows attendees to flip through the presentation slides at an individual pace and jump to another slide in the presentation. Use the drop-down arrow to select the desired presentation.All meeting attendees can use the Noteboard to input private (personal) or public (group) notes during a meeting. Notes typed into the Noteboard can be exported by any meeting attendee to Adobe®PDF® file format and are preserved permanently in meeting reports accessible to the host.
To type a personal note, click the Noteboard icon in the title bar of the lower left pane. In the lower right corner of this pane, select Personal from the drop-down list. Click the Add Note button, and begin typing your note. When you are done typing, click Save. Otherwise, click Cancel if you do not wish to save your note. Your note then appears in the Noteboard pane.
To type a public note that is viewable by all meeting attendees, click the Noteboard icon in the title bar of the lower left pane. In the lower right corner of this pane, select Group from the drop- down list. Click the Add Note button, and begin typing your note. When you are done typing, click Save. Otherwise, click Cancel if you do not wish to save your note. Your note then appears in the Noteboard pane.
To convert the notes to Adobe PDF file format, click the PDF button. Your notes appear in a new tab or window in the browser.Meeting attendees can send private feedback to the meeting host or current presenter during the meeting by clicking one of the emoticons at the bottom of the Jigsaw Meeting browser window. Hover over each icon to view a tool tip describing the emotion that is associated with it.
When you click the emoticon of your choice, a dialog box pops up, offering the option to type comments as well. To do this, click the Optional message box and begin typing. When done, click Submit to send your feedback to the host or current presenter. A “Feedback sent successfully” message pops up on the lower right corner of your browser window when the feedback is sent.
NOTE: Typed message is limited to 300 characters.If the meeting host uploads a survey to the meeting during meeting creation, the survey is available to meeting attendees in the bottom left pane in the left frame of Jigsaw Meeting.
1. Click the Surveys icon in the title bar of the bottom left pane in Jigsaw Meeting. NOTE: If no survey has been uploaded to the meeting, then the message “This feature is not currently being used for this meeting” is displayed.
2. Click the survey name to start.
3. Select your answer the question, and then click Next. The next question is displayed.
4. Repeat step 3 until a Submit button is displayed to indicate that you are on the last question. Click Submit. Your survey answers are now available to the meeting host or current presenter.
